Let's say your startwork packet includes an insurance form that will need to be sent to your company's legal department when your project wraps.
In a paper world, you'd have to manually pull that document from all packets, scan each page, then save those scans one by one, and send the documents via email (not a very secure way to send documents!).
In TiM, tags allow you to indicate certain pages that will need to be sent later on. When you are ready to send, in the Approval Pipeline, click the "Send to..." button that corresponds with the tag, and TiM will mass export specifically tagged pages all at once, and send them securely to a recipient. When the pages are downloaded by the recipient, they are automatically saved as individual files for each employee, and automatically named by the employee's "Last Name, First Name".
Types of tags indicate a recipient
Tags can be set in Template Build. There are three types of tags, each to indicate a different recipient:
Start forms, W-4s, W-9s, WTPA notices, Direct Deposit forms, and Box Kit forms are some of the forms your Payroll Company may expect to receive.
Be sure to communicate with your Payroll Coordinator so everyone is on the same page about what will need to be sent and received.
NOTE: The first time you send to payroll, TiM will suggest the email address of the payroll coordinator as entered on the Production Details screen. After that first time, the system will suggest the most recent email address used.
Deal Memos, NDAs, and Appearance Releases are some of the forms commonly kept on record by a Production Company. Come wrap time, those forms can be pulled for every employee with just a few simple clicks. Never again will you need to hire extra PAs during wrap to pull and scan hundreds of employee records!
Custom Tags allow you to indicate pages that will need to be sent to unique recipients.
For example, if your project involves extreme conditions, you may have a few extra insurance forms in your startwork packet that would need to be sent to the legal department later on.
NOTE: Currently in TiM there is no way to record which color Custom Tag goes to which recipient, so be sure to keep track of what pages are being tagged and what color is being used to indicate which recipient.
For example, if you need to pull insurance forms for the legal department, and DGA forms to send to the union, make sure you make a note that purple tags are insurance forms, and green tags are DGA forms.
How to Tag pages:
NOTE: It is best practice to set Tags when you are building forms and packets at the Company level, so they are already set for use at the Project level.
- Click on the page you want to tag.
- Under "Settings for Current Page", click on the type of tag you want to assign to this page.
As tags are set, little colored dots appear under each page to indicate it has been tagged.
The names of tags also appear within the fields/markups area of a selected page.
Pages can have multiple tags. Tags can be set for multiple pages.
