TiM has been hard at work building new tools to empower you to set up automatic distribution of work state-specific forms within your packets.
These new features will help to reduce the distribution-related burden on you and your teams and ensure that crewmembers effortlessly receive the individualized Startwork they need.
Work State functionality will be rolled out in two phases:
Phase One: work states added to Production Info and Employment Details--available now!
Phase Two: Work State Viewing Permissions will be available in the coming weeks.
Phase One: Work States
A Call to Action: please designate work states in Production Info for each of your TiM Projects.
We've added a new section to Production Info called "Work State(s)." TiM will use work state information for a number of functions, including streamlining the invite process.
How to add work states to your Project:
- From your Project dashboard, click the "edit" button next to Production Info.
- Within "Work State(s)," enter all the states where crew will be working on this Project.
- Also add/edit default Work States.*
- Click "Save."
*Once you designate work states, you will notice another field, which asks: "Of the designated work states, which should appear by default on Invites?"
States listed in this second field will appear by default on all Invites created going forward. Of course, work states can be removed or changed on the fly within an Invite, providing flexibility to accommodate hires in unexpected places.
FYI:
Work states are now required for new Invites.
The next time you send an Invite, you'll notice a new area within Employment Details called "Work State(s)." Here, Inviters can indicate which states a crewmember will be working in for the Project.
Work states indicated within an Invite will be used to:
- Auto-populate any work state Smart Fields within the person's packet.
- (In Phase Two) Tell TiM which state-specific forms within the packet to show or hide from the recipient.
If Employment Details were selected prior to the release of work state functionality, work states will reflect as "None Designated."
This will not prevent a packet from being submitted or approved.
If Employment Details are edited, you will be required to add work states.
For example, if you initiate a Job Change for an employee, or edit an Invite that was sent prior to this update.
Work states are considered Employment Details.
TiM considers them terms of an employee's deal. Therefore, if you revise work states after an employee submits their Startwork, TiM will prompt the Startwork to be bounced back, just as if their rate or job description had changed, for example.
Phase Two: Work State Viewing Permissions
In a few weeks, Work State Viewing Permissions will be available in the Builder!
With Work State Viewing Permissions, you will be able to choose which pages of your packets need to be automatically shown or hidden from a recipient based on where they're working. That means the state withholding forms, wage theft forms, and tax incentive forms can all be included in your Standard Packets!
We're also adding work states to the Crew List Report so you can easily export data on who's working where.
