In TiM, when an employee is Invited to complete Startwork for a Project, by default they are auto-matched to the type of Standard Packet that matches their hire type (Union, Non-Union, Union Loan-Out, Non-Union Loan-Out).
Special Packets are Templates that include a unique set of forms, or a set of forms different than those included in your Standard Packets.
Unlike Standard Packets, Special Packets are not auto-matched to employees. Instead, they must be manually shared with employees as needed.
You can share a Special Packet instead of a Standard Packet (see steps below), or you can share a Special Packet in addition to a previously matched packet. For more detailed instructions, see: How to build & share a Special Packet.
How to share a Special Packet instead of a Standard Packet from an Employee Invite:
- From Crew Management, select "Invite Crewmember" to start the Invite.
- Select or enter the Employment Details for the employee(s).
- The "Assign Startwork" area shows you the type of Standard Packet the employee(s) will be matched to by default. To override this auto-match, select "Do not match employee to a Standard Packet."
- A drop down will appear and prompt you to "Select a Special Packet to share with this employee instead."
- Select the Special Packet you want to share.
- Continue the Invite as usual.
- Click "Send Invite."
- In Crew Management, you will see the packet name appear next to the employee's name.
NOTE: Special Packets will only appear on this drop down if they are Published. If a Special Packet is marked to "Hide from Inviters," it will only be available to share for people with "Edit: Startwork Templates" Permissions. The selection to hide a Special Packet can be made from Startwork Templates > Special Packets.
How to share a Special Packet instead of a Standard Packet after an Invite has been sent, before the employee's Startwork is submitted:
- From Crew Management, select "change packet." A pop up will appear.
- Select "Do not match employee to a Standard Packet." A drop down will appear.
- From the drop down, select the Special Packet you want to share.
- Click "Update."
- In Crew Management, you will see the packet name appear next to the employee's name.
NOTE: Special Packets will only appear on this drop down if they are Published. If a Special Packet is marked to "Hide from Inviters," it will only be available to share for people with "Edit: Startwork Templates" Permissions. The selection to hide a Special Packet can be made from Startwork Templates > Special Packets.
How to share a Special Packet instead of a Standard Packet at the Gatekeeper Review step:
- In the Approval Pipeline, click the yellow "Review" button to access the Startwork. This will take you to Employment Details.
- At the top of the screen, select "Click here to edit employment details or send back a different packet."
- In the Assign Startwork area, select the checkbox next to "Select to match this employee to a Special Packet instead of a Standard Packet."
- Select the Special Packet the employee needs to receive from the drop down.
NOTE: Special Packets will only appear on this drop down if they are Published. If a Special Packet is marked to "Hide from Inviters," it will only be available to share for people with "Edit: Startwork Templates" Permissions. The selection to hide a Special Packet can be made from Startwork Templates > Special Packets.
- At the bottom of the screen, select "Send Back to Crewmember."
- A pop up window will appear, prompting you to write a message to the employee explaining why their Startwork is being bounced back.
- The message will appear in the notification email to the employee, along with a link back to their Startwork (similar to the initial Invite they received).
- Click "Continue."
- In Crew Management, the employee's Startwork status will now show as "Packet sent back [date], waiting for employee."
- In the Approval Pipeline, the employee's Startwork status will show as "Startwork not yet submitted."
- The employee will need to login at hellotim.com to re-sign & submit their Startwork.
