In TiM, a "Read-Only Handbook" is any document that is lengthy (50+ pages) and does not require a signature.
Examples of "Read-Only Handbooks" might be:
- A company handbook
- Safety and security guidelines
- Information regarding green environmental practices
TiM's Read-Only Handbook feature allows production teams to distribute these lengthy, read-only documents without having to add them to their Startwork Templates.
Company Admins can upload Handbooks at the Company level and then distribute them at the Project level.
When an employee receives a Handbook in TiM, they are prompted to acknowledge that they have received and read the Handbook before they can proceed to submit the rest of their Startwork.
How to upload & distribute Read-Only Handbooks
- Go to your Company dashboard (select "Company Account" from the header, then select your Company).
- Select "Company Information."
- Scroll down, select the checkbox next to "Select here if you have a handbook that is over 50 pages." The "Read-Only Company Handbooks" area will appear.
- Select "Upload a Handbook."
- A pop up will appear. Select "Choose file" to upload the PDF file from your computer.
NOTE: Only PDF files are accepted.
Pro Tip: Prior to uploading, make sure the PDF file is named in a way that is acceptable for employees. Handbook file names cannot be changed after upload. - Click "Upload."
- The Handbook will appear.
- Once the Handbook is uploaded, you can distribute across all Projects, or only selected Projects.
- To distribute to all Projects: Select "Include in: all projects"
- To distribute to selected Projects:
- Click on the "(#)" next to "Include in: only selected projects"
- Select the checkboxes next to the Projects that need this Handbook distributed.
- Click "OK."
- Click "Save Changes" to save your work and exit Company Info.
Pro Tips:
- Currently in TiM, Handbooks can only be uploaded by Company Admins at the Company level, from Company Information. Project-level managers cannot upload Handbooks.
- You can delete a Handbook completely as long as the Handbook has not been distributed to employees yet. Just go to Company Information and click "delete."
- If the Handbook has already been distributed to employees, you can Archive the Handbook to prevent the Handbook from being distributed to employees going forward. Just go to Company Information and click "archive."
- NOTE: Currently there is no way to "un-archive" or "un-delete" a Handbook.
- If the Handbook has already been distributed to employees, you can Archive the Handbook to prevent the Handbook from being distributed to employees going forward. Just go to Company Information and click "archive."
- If you need to distribute an updated version of a Handbook, go to Company Information and click "update" to update the existing PDF.
- The most current version will distribute to employees who are sent Startwork going forward.
- If a Handbook has been distributed to a Project, and you do not want to distribute it further, you can block the Handbook from being distributed at the Project level by going to the Project dashboard > click "edit" next to Production Info > Click "Do not distribute to employees on this Project."
- This can be "turned on an off" at any time. For example, if you do not want a specific employee to receive a Handbook, you can select "Do not distribute to employees on this Project" > send the Invite > DE-select "Do not distribute to employees on this Project." The Handbook will "skip" sending to the person who didn't need to receive it.
- You can only select to distribute Handbooks on a per Project basis. There is no way to pre-select to send Handbooks only to specific employees.
