Deleting an Employee Invite is the only way in TiM to completely clear an employee's record from a Project. An Employee Invite can only be deleted if the employee's Startwork has not been Fully Approved. (Startwork status can be checked from Crew Management.)
NOTE: If an Invite is sent to a wrong or misspelled email address, you do not need to delete the Invite! Instead, Resend the Invite.
NOTE: Removing an employee from a production does not delete or "shred" the employee's Startwork or clear the employee's record. Removing an employee from a production only removes that employee's access to that Project within TiM.
How to delete an Employee Invite if the Startwork has not yet been submitted by the employee:
- Go to Crew Management.
- Click the blue "edit" button. This will bring you to Employment Details. (If the "edit" button is gray, it means an employee's Startwork has been submitted and is pending approval.)
NOTE: You must have Invite/Manage Permissions in order to access Crew Management and see the "edit" buttons. Invite/Manage Permissions can be defined to allow you to see people in your department only or the entire crew. - At the bottom of the screen, click the red "Delete Invite" button.
How to Delete an Employee Invite if the I-9 has been submitted but not the rest of the Startwork Packet:
- Go to the Approval Pipeline.
- Click the red "Verify I-9" button and shred the employee's I-9.
- Once the I-9 is shredded, the red "Verify I-9" button will change into a yellow "Review" button.
- Click "Review" to access the employee's Startwork. This will take you to Employment Details.
NOTE: You must have Gatekeeper Permissions in order to see the yellow "Review" button. - Scroll down, select "Continue to Startwork."
- Select the gray "Send back to Crewmember" button.
- Enter a note to the employee letting them know the context (for example: "Since you didn't end up working on this Project, I'm deleting your Startwork from the system.")
- Click "Continue." (This will send the packet back to the employee, which will allow you to delete their Invite.)
- Go to Crew Management.
- The employee's "edit" button will now be blue. Click the blue "edit" button. This will take you to Employment Details.
NOTE: You must have Invite/Manage Permissions in order to access Crew Management and see the blue gear icons. Invite/Manage Permissions can be defined to allow you to see people in your department only or the entire crew. - At the bottom of Employment Details, click the red "Delete Invite" button.
How to Delete an Employee Invite if their Startwork has been submitted and is pending Gatekeeper review:
- Go to the Approval Pipeline.
- Click the red "Verify I-9" button and shred the employee's I-9.
- Once the I-9 is shredded, the red "Verify I-9" button will change into a yellow "Review" button.
- Select "Review" to access the employee's Startwork. This will take you to Employment Details.
NOTE: You must have Gatekeeper Permissions in order to see the yellow "Review" button. - Scroll down, select "Continue to Startwork."
- At the top of the next screen, select "Send back to Crewmember."
- A pop-up will appear. You will be prompted to enter a note for the record about why the packet is being bounced back and why the record is being deleted (for example: "Did not ultimately work on the project.").
- Click "Continue." (This will send the packet back to the employee, which will allow you to delete their Invite.)
- Go to Crew Management.
- The employee's "edit" button will now be blue. Click the blue "edit" button. This will take you to Employment Details.

How to Delete an Employee Invite if the Startwork is submitted and past the Gatekeeper review step:
If your Project's Startwork packets require multiple Approval Signatures to be Fully Approved, and the packet is past the Gatekeeper review step (but not yet Fully Approved), the packet must be sent back to the Gatekeeper by an Approver before it can be sent back to the employee.
- Go to the Approval Pipeline.
- Click the "Approve" button. This will take you to Employment Details.
NOTE: You must have corresponding Approval Permissions in order to see an "Approve" button. - Scroll down, click "Send back to Startwork Gatekeeper."
- Click the yellow "Review" button. This will take you to Employment Details.
- NOTE: You must have Gatekeeper Permissions in order to see the yellow "Review" button.
- At the top of the screen, click "Send back a different packet."
- Click "Continue." (This will send the packet back to the employee, which will allow you to delete their Invite.)
- Go to Crew Management.
- The employee's "edit" button will now be blue. Click the blue "edit" button. This will take you to Employment Details.
