Permissions determine what a person can see and access from their TiM Account for a particular Project.
Permissions are initially set within the Employee Invite, and can be edited at any time from Crew Management via the orange "permissions" button.
NOTE: A person can only grant the Permissions they have.
Crew Management Permissions
Any Permissions granted in this section will allow a person access to Crew Management from their Project dashboard.
Invite/Manage
Grants a person the ability to invite other people to this Project, set Permissions for those people, and edit their Employment Details. You can limit this Permission to only Invite/Manage within someone's own department, or for the whole crew on a Project.
If someone is granted "Invite/Manage", they will have access to Crew Management where they can Invite employees, and they will see the orange "permissions" buttons as well as the blue "edit" buttons (to view or edit Employment Details) for their own department or the whole crew, depending on how the Permission is set.
Verify I-9
Grants a person the ability to verify I-9s for other people. You can limit this Permission to only verify I-9s within someone's own department, or for the whole crew on a Project.
When "Verify I-9" Permission is granted, you will see red "Verify I-9" buttons.
NOTE: If a person is granted verify I-9 Permissions as well as Production Oversight Permissions, "Verify I-9" buttons will appear in Crew Management as well as the Approval Pipeline (see "Combinations of Permissions" below).
Production Information Permissions
View Crew List
Allows a person access to the Project's Crew List from their Project dashboard. A Crew List in TiM displays the names and contact information for every person connected to the Project in TiM.
Edit Production Information
Allows a person to edit a Project's Production Info, default Production Department settings, Approval Workflow settings, and Electronic Signature settings.
A Project's Production Info is initially set up when the Project is created. The person who created the Project will always have the ability to edit Production Info regardless of how their overall Permissions are set.
Production Information can be accessed from the Project dashboard via the gear icon at the top right of the Production Info box.
Edit Rate Guide/Acct. Codes
Allows a person access to a Project's Rate Guide and Account Code information. If granted, you will be able to edit the default rate information for every position on the Project via the Rate Guide button on your Project dashboard.
If combined with Invite/Manage Permissions, you will be able to enter accounting code information in the Accounting Codes area of Employment Details, and edit accounting code information from Crew Management (see "Combinations of Permissions, below). Accounting Codes can be entered when an employee is Invited to a Project or at any time from Crew Management by clicking "edit account codes".
NOTE: A person with Startwork Gatekeeper Permissions will always have the ability to edit account codes at the Gatekeeper review step regardless of how their other Permissions are set.
Edit Startwork Templates
Grants a person the ability to build and edit Startwork Templates for the Project, and includes the ability to share Special Packets. If granted you will see the Startwork Templates button on your Project dashboard.
Production Oversight Permissions
Granting any Production Oversight Permissions for a Project allows a person to access the Approval Pipeline from their Project dashboard.
What particular buttons appear within the Approval Pipeline depends on the type of Production Oversight Permissions that person is granted.
View Approval Pipeline
Enables a person to see the status of Startwork and view Startwork packets as they are signed by approvers. A person cannot approve Startwork if "View Approval Pipeline" is the only Production Oversight permission granted.
Approve Startwork as... Startwork Gatekeeper
A Gatekeeper in TiM is the first person who looks at Startwork once it is submitted by an employee. Gatekeepers can:
- Send Startwork to payroll and other recipients
- Track the status of sent Startwork
- Review/approve Startwork
- Edit account codes at the Gatekeeper review step
- Edit employment details and send Startwork back to an employee
In the Approval Pipeline, a Gatekeeper will see yellow "Review" buttons which enables them to access Startwork in order to review it, "Send to..." buttons which are used to send tagged pages to payroll and other recipients, and Recent Batch History, which enables them to track the status of Startwork that has been sent to recipients.
The Startwork Gatekeeper review step is built-in to TiM functionality and cannot be skipped.
At least one person on your Project should be assigned "Approve Startwork as Startwork Gatekeeper" permission. Multiple people can be assigned this permission.
Approve Startwork as... Production Accountant
Users with Production Accountant permission are able to:
- Approve Startwork
- Edit account codes at their approval step
- Send Startwork back to the Gatekeeper to be revised
- Send Startwork to payroll or other recipients
If a Production Accountant Signature Field has been applied to Startwork templates, in the Approval Pipeline a person with this Permission will see a green Approval column and green "Approve" buttons which enable them to approve Startwork.
If no Production Accountant Signature Field exists, the user will will see a grayed out version of the Approval Pipeline (that will allow them to view Startwork past the Gatekeeper review step only), surrounded by the "Send to..." buttons and Recent Batch History.
Only people with "Approve Startwork as Startwork Gatekeeper" or "Approve Startwork as Production Accountant" Permissions are able to send Startwork to recipients.
'Upstream' Approvals, i.e.:
Approve Startwork as... [Production Supervisor, AUPM, UPM, Line Producer, or Studio Exec]
A person with 'Upstream' Approvals can:
- Approve Startwork
- Send Startwork back to the Gatekeeper to be revised
People with upstream approval Permissions will see an Approval column that corresponds with the type of Permission they were granted, as well as "Approve" buttons that allow access to Startwork packets in order to approve them.
Upstream approvals are only activated if corresponding Approval Signature Felds are applied to Startwork Templates.
Don't see an "Approve" button in the Approval Pipeline? It could be because the type of Approval Signatures in your packets do not correspond with the type of Permission you've been granted.
Combinations of Permissions:
Invite/Manage + Verify I-9
In Crew Management, you will see the red "Verify I-9" buttons, orange "permissions" buttons, the blue "edit" buttons, and the Invite buttons.
Invite/Manage + Edit Rate Guide/Acct. Codes
On the Employee Invite, you will be able to see the Accounting Codes area and enter ACIP codes if necessary. You will also be able to edit accounting code information from Crew Management by clicking "edit account codes".
Verify I-9 + Production Oversight Permissions:
A person can verify I-9s from the Approval Pipeline if they have Verify I-9 Permissions in addition to Production Oversight Permissions.
Verify I-9 + View Approval Pipeline
In the Approval Pipeline, you will see red "Verify I-9" buttons and the I-9 Verified column, and the rest of the Approval Pipeline will be gray.
Verify I-9 + Approve Startwork as...
in the Approval Pipeline you will see the red Verify I-9 buttons and column as well as the Approve buttons and column that corresponds with your Approval permission.
