When a Job Change is initiated for an employee, TiM will automatically match the employee to the Standard Job Change Packet built within your Project's Startwork Templates.
Pro Tip: Look under the category "Payroll Forms" -- There are pre-built Job Change Packet Templates available for Media Services and Cast & Crew.
Why are Viewing Permissions especially important when building a Standard Job Change Packet?
The Standard Job Change Packet will be auto-matched to any employees who undergo a Job Change for any reason (such as an individual whose terms of employment change, an individual switching to a Loan-Out, a Non-Union employee flipping to Union, etc.).
Therefore, it is normal to include a mix of documents intended for different types of hires in this packet, and then apply Viewing Permissions to allow the packet to auto-filter based on the type of Job Change being initiated.
For example:
- Insert both a Union start form and a Non-Union start form into the Job Change Packet.
- Then, apply the Union/Guilds Viewing Permission to each form.
- On the Union start form, set the Viewing Permission to "Hide this page from: Non-Union."
- On the Non-Union start form, set the Viewing Permission to "Only share this page with: Non-Union."
- This will ensure that the Union start form will only show to employees who have a Union/Local # indicated in their Employment Details, and the Non-Union start form will only show to employees who have "Non-Union" selected in their Employment Details.
- Insert both a start form for individuals and a start form for Loan-Outs into the Job Change Packet.
- Then, apply the Loanout Status Viewing Permission to each form.
- On the start form for individuals, set the Viewing Permission to "Share this page with: Only Individuals."
- On the start form for Loan-Outs, set the Viewing Permission to "Share this page with: Only Loanout.."
- This will ensure that the start form for Loan-Outs will only show to employees who have been indicated as a Loan-Out, and the start form for individuals will only show to employees who do not have this indication, ie: who are not being hired as a Loan-Out.
- Insert both a Weekly Deal Memo and a Daily Deal Memo into the Job Change Packet.
- Then, apply the Hire Type Viewing Permission to each form.
- On the Weekly Deal Memo, set the Viewing Permission to "Share this page with: Only Weekly Hires."
- On the Daily Deal Memo, set the Viewing Permission to "Share this page with: Only Daily Hires."
- This will ensure that the Weekly Deal Memo will only show to employees whose Hire Type is selected as "Weekly," and the Daily Deal Memo will show only to employees whose Hire Type is selected as "Daily."
NOTE: The Loanout Status Viewing Permission and the option to "Hide this page from Non-Union" within the Union/Guilds Viewing Permission are only available within Standard Job Change Packet Templates.
