A person with "Approve Startwork as: Gatekeeper" Permissions can correct submitted Startwork from the Approval Pipeline, as long as the packet has not yet been Fully Approved (ie: received all necessary approvals in your workflow). You can check an employee's Startwork status from Crew Management.
If the packet has been Fully Approved, you can initiate a Job Change for the employee so the correct information can be recorded.
This article covers:
- If Employment Details need to be edited
- To adjust employment terms such as rate, box/kit rental, or allowances.
- If the employee needs to receive a different type of packet
- If the employee submitted a Special Packet but needs to be rematched to a Standard Packet (or vice versa).
- If the employee was originally invited as an individual but needs to be switched to a Loan-Out (or vice versa).
- If the employee was originally invited as Non-Union but needs to be switched to Union (or vice versa).
- If the employee needs to resubmit the same packet or a later version of the same packet
- If the packet's Template needed to be edited (ie: a form was missing from the packet, other changes needed to be made to the packet's Template).
- If the employee's personal information is incorrect throughout packet documents.
NOTE: Before changes can be made to submitted Startwork, an employee's I-9 must be verified.
If Employment Details need to be edited:
NOTE: If Startwork is past Gatekeeper review, an Upstream Approver needs to bounce the Startwork back to Gatekeeper first.
- In the Approval Pipeline, click the yellow "Review" button to access the Startwork. This will take you to Employment Details.
- At the top of the screen, click "Click here to edit employment details or send back a different packet."
- This will activate the screen and allow you to make changes.
- Make necessary changes.
- At the bottom of the screen, click "Send Back to Crewmember."
- A pop up window will appear, prompting you to write a message to the employee explaining why their Startwork is being bounced back.
- The message will appear in an email the employee receives, along with a link back to their Startwork (similar to the initial Invite they received).
- Click "Continue."
- In Crew Management, the employee's Startwork status will now show as "Packet sent back [date], waiting for employee."
- In the Approval Pipeline, the employee's Startwork status will show as "Startwork not yet submitted."
- The employee will need to login at hellotim.com to re-sign & submit their Startwork (only a few clicks!).
NOTE: The employee will not be prompted to re-submit their I-9. For instructions on how to resend or correct an I-9 in TiM, see: How to delete, resend, or correct an I-9 in TiM.
If the employee needs to receive a different type of packet:
NOTE: If Startwork is past Gatekeeper review, an Upstream Approver needs to bounce the Startwork back to Gatekeeper first.
- In the Approval Pipeline, click the yellow "Review" button to access the Startwork. This will take you to Employment Details.
- At the top of the screen, click "Click here to edit employment details or send back a different packet."
If the employee needs to be rematched to a Special Packet instead of a Standard Packet:
- In the Assign Startwork area, select the checkbox next to "Select to match this employee to a Special Packet instead of a Standard Packet."
- Select the Special Packet the employee needs to receive from the drop down.
If the employee needs to be rematched to a Standard Packet instead of a Special Packet:
- In the Assign Startwork area, DE-select the checkbox next to " Select to match this employee to a Special Packet instead of a Standard Packet."
- You will see the prompt on the left will update and display the type of Standard Packet the employee will receive.
If the employee needs to be rematched to a different Standard Packet:
- Edit the selections within "Crewmember/Startwork Type" to change the type of Standard Packet matched to this employee.
- You will see the Standard Packet name update in the Assign Startwork area as "Crewmember/Startwork Type" selections are edited.
- For example:
- If the employee needs to receive a Loan-Out packet, select the checkbox next to "Will be paid as Loan-Out for this production."
- If the employee needs to receive a Union packet, DE-select the checkbox next to Non-Union and enter a Union acronym or local number into the Union field.
- For example:
- At the bottom of the screen, click "Send Back to Crewmember."
- A pop up window will appear, prompting you to write a message to the employee explaining why their Startwork is being bounced back.
- The message will appear in an email the employee receives, along with a link back to their Startwork (similar to the initial Invite they received).
- Click "Continue."
- In Crew Management, the employee's Startwork status will now show as "Packet sent back [date], waiting for employee."
- In the Approval Pipeline, the employee's Startwork status will show as "Startwork not yet submitted."
- The employee will need to login at hellotim.com to re-sign & submit their Startwork.
If the employee needs to resubmit the same packet or a later version of a the same packet:

If you realize the Startwork packet submitted by an employee was set up improperly, or the employee submitted the wrong type of Startwork packet, first, go to Startwork Templates and create a new version of a Distributed packet, or create a new type of packet to be Distributed.
Once the packet this employee needs is ready, complete the steps below.
NOTE: If Startwork is past Gatekeeper review, an Upstream Approver needs to bounce the Startwork back to Gatekeeper first.
- In the Approval Pipeline, select the yellow "Review" button to open the packet. This will take you to Employment Details.
- At the bottom of the screen, click "Continue to Startwork." This will take you to the Startwork documents.
- Click "Send back to Crewmember."
- A pop up will appear.
- Choose to send back the same packet, or an updated version of the packet.
- In Crew Management, the employee's Startwork status will now show as "Packet sent back [date], waiting for employee."
- In the Approval Pipeline, the employee's Startwork status will show as "Startwork not yet submitted."
- The employee will need to login at hellotim.com to re-sign & submit their Startwork.
Important Notes:
- When Startwork is sent back an the employee, the employee's status in the Approval Pipeline changes to "Startwork not yet submitted."
- When Startwork is sent back to an employee, the employee's status in Crew Management changes to "Packet sent back [date], waiting for employee."
- When an employee's Startwork has been sent back to them, they can login at hellotim.com and will be directed to submit the bounced Startwork upon login.
- Once the employee re-submits, the Startwork will be available to be reviewed and approved as usual, and the yellow "Review" button will re-appear in the Approval Pipeline.
- Whenever changes are made to an employee's Employment Details, those actions are recorded in the History section of Employment Details.
